Executive Coordinator & Liaison


The IAPP is the world’s largest association for professionals in the field of privacy and data protection, and currently represents more than 14,000 members in over 83 countries around the world. The association offers its members a variety of professional development services from educational programs and networking forums to annual conferences, industry resources and professional certifications in information privacy.

The Role:

The International Association of Privacy Professionals (IAPP) is seeking a seasoned executive support to assist the CEO and the business development team.

Responsibilities Include:

  • Primary Scheduler for CEO
  • Keeps CEO’s calendar
  • Proactively communicates CEO’s schedule (in and out of office) to IAPP staff
  • Prepares materials in advance of meetings for CEO
  • Project manager (on CEO’s projects)
    • Directs him to when and where he needs to be
    • Ensures he is prepared for meetings with proper documents
    • Understands the people involved with the activities
    • Prepares speaking points as required
    • Sits in on meetings and takes notes as required
    • Alerts him to conflicts with other appointments or activities at the IAPP and beyond
  • Administrative support for the CEO & Board
    • Primary administrative liaison with Board of Directors
    • Keeper of BOD ‘directory’
    • Plans BOD meetings and events
    • Oversees the travel and hotel accommodations for board & CEO
    • Prepares documents as required
    • Oversees the BOD Retreat, with support from the Events Team
    • Updates the website with BOD information
    • Ensures the collection of headshots and bios
  • Administrative Liaison with the Business Development Department
    • Scheduler for BD travel
    • Processes invoices for the department, including credit card transactions
    • Proofing documents
    • Research
    • Miscellaneous administrative support as needed

General Qualifications Include:

  • B.A. preferred
  • Detail-oriented
  • Must have excellent oral and written communication skills
  • Able to manage multiple simultaneous projects
  • Thrives in a fast-paced, fluid work environment
  • Must have strong computer skills
  • A team player & self-starter - eager to pitch in on leadership projects as needed
  • Mature, able to work independently and maintain confidentiality
